The short version

  • Uploading: When you upload content (audio, text, images or videos), we only collect the information and data necessary to create and make your audio guides available to end-users (i.e. the museum visitors).
  • Your information: We protect all content you upload and use it exclusively to provide the Walkie Talkie service. We work to ensure your content is not indexed by search engines or scraped by internet crawlers. We don't sell your information to third parties. We never use your data to train AI.
  • Your files: You retain strict ownership of all content you upload and create in the service. You can easily download all your content at any time, and we use it strictly as described in this privacy statement.

Privacy Statement

What Information Walkie Talkie Collects and Why

Information from users (e.g. museums and cultural institutions)

When you upload audio files, texts, video or images, they are transferred via a secure HTTPS protocol to our servers in the European Union for processing and storage. We collect this information to provide the audio guide services advertised.

We only collect your email address, which is necessary for our customer relationship. We will use your email address to communicate with you for the reasons you've consented to. You have the right to withdraw consent at any time by contacting us, and we will delete your email address from our records.

Information from users with accounts

If you create an account for your institution, we only require an email address. We use a secure "magic link" authentication system instead of passwords. This helps us identify you on Walkie Talkie and communicate with you as necessary. You can also name your location(s) within the service. We do not collect sensitive personal information unless you choose to provide it by uploading such content.

Payment information

For paid subscriptions, we handle billing through manual invoicing. We collect billing information (such as company name, billing address, and VAT number) through direct communication with you via email or other agreed channels. This information is used solely to issue and process invoices for your subscription. We do not collect or store payment card information on our servers.

Third-party data processing

We do not share, sell, rent, or trade User Personal Information with third parties for commercial purposes. We only share text content and audio files you provide for transcription with third-party vendors who process this information on our behalf to create and deliver your audio guides, and only under similar privacy restrictions. Images, videos, and other uploaded data are not shared with third parties. Any such sharing is limited to what is necessary to provide the Walkie Talkie service.

Our use of local storage

Walkie Talkie uses local storage in your browser to store preferences such as language selection and playback progress. We do not use cookies. This data remains on your device and is not shared with our servers. We do not track your activity across other websites.

How Walkie Talkie secures your information

We take all reasonable measures to protect the information you provide to the service (including email addresses and uploaded content) from unauthorized access, alteration, or destruction. While we strive to use the best available means to protect your information, no method of transmission or storage is 100% secure.

Global privacy practices

All information collected is stored and processed in the European Union. We require vendors and affiliates with access to User Personal Information to comply with our privacy policies and applicable data privacy laws, including GDPR.

End-user data

When end-users (e.g. museum visitors) use the Walkie Talkie platform to access audio guides via QR codes and web links (URLs) that we provide to you through the service, we collect minimal data necessary for the service to function. User preferences such as language selection are stored in local storage on the end-users's device and are not transmitted to our servers. We do not track individual visitors across exhibitions or retain personal information about them.

How we respond to compelled disclosure

Walkie Talkie may disclose personal information to law enforcement if required by law. We strive for transparency and will notify users of any disclosure unless prohibited by law.

How you can access and control your information

If you're a registered Walkie Talkie user, you can access and update your information on our website or delete your basic user profile information by contacting us.

Data retention and deletion

Walkie Talkie retains User Personal Information (email addresses, account details, and billing information) as long as your account is active or as needed to provide services. This information may be retained up to three years after account termination unless you request deletion. Content uploaded for audio guides (audio files, texts, images, and videos) is retained for the duration of your subscription plus a 30-day grace period, unless otherwise agreed in writing between you and Walkie Talkie.

How we communicate with you

We use your email address to communicate with you, only for the reasons you've accepted. We may send notifications about new features, policy changes, or support, and marketing emails with your consent. You can unsubscribe from marketing emails at any time.

Changes to our privacy statement

Walkie Talkie may update this privacy statement periodically. We will notify users of material changes at least 30 days before changes take effect.
